Bluevine Study Finds More Than Half of SMBs Use AI to Handle Workload of at Least One Employee

National survey reveals 40% of small business owners are freezing or pausing hiring despite active growth goals—and 75% planning to automate roles over the next year.

JERSEY CITY, N.J., Oct. 7, 2026 /PRNewswire/ — A new report published today by Bluevine—the largest digital banking platform for small businesses in the U.S.*—reveals that American small business owners are fundamentally decoupling revenue growth from headcount growth. According to Bluevine’s Lean Team Economy Report, business owners are leveraging software and artificial intelligence to scale operations, preferring to run lean rather than expand their payrolls.

The survey of 729 U.S. small business owners shows that while 60% of small businesses are actively trying to grow and scale, 40% have paused hiring or intentionally kept their teams small over the past 12 months. Rather than adding staff, owners are turning to technology: 53% of small business owners report that AI and automation tools have already absorbed the workload equivalent to at least one full-time employee. This corresponds with Bluevine data that shows that the average small business headcounts across more than 200,000 active Bluevine customers have remained remarkably flat across the last three years: From October 2023 to July 2026 the average headcount of Bluevine customers stayed completely flat at 3.3 employees per account despite account balances growing X% in that time period.

The Personal Trade-Off of Staying Lean

While running a lean team delivers clear operational advantages—with 58% of owners citing faster decision-making and another 58% pointing to lower overhead and higher margins—it comes at a steep personal cost.

Nearly two-thirds (65%) of respondents state that operating with a lean team has negatively impacted their business or personal well-being. The single most common sacrifice was the owner’s ability to take time off (33%), followed by burnout and mental health strains (24%).

The study also disproves the assumption that small, early-stage teams feel this strain the most. Operational burnout actually peaks as businesses grow: 80% of business owners with 50 to 99 employees reported negative impacts from running lean, compared to 59% of smaller teams.

Automation Becomes the Default Growth Strategy

Rather than treating software as a temporary fix, small business owners are making automation their permanent hiring strategy. Three-quarters (75%) of respondents plan to hand off specific business functions to AI or automated software in the next 12 months instead of hiring dedicated staff.

Top functions targeted for automation over headcount expansion include:

  • Marketing and Sales: 39%
  • Customer Service and Communications: 37%
  • Finance and Bookkeeping: 34%
  • Administrative and Office Operations: 28%

This survey data reflects real-world financial behavior across Bluevine’s platform. An analysis of business checking data showed a 50% increase in Bluevine accounts with active, verified AI tool subscriptions between September 2025 and March 2026, led primarily by businesses generating under $500,000 in annual revenue.

Furthermore, larger small businesses are adopting these tools fastest: owners with 50 to 99 employees are nearly twice as likely to report that AI handles a full employee’s workload (49%) compared to the overall sample (26%).

Methodology

The Lean Team Economy Report is based on user data from more than 200,000 active Bluevine accounts blended with an online survey conducted by Centiment for Bluevine between June 25, 2026, and June 30, 2026. The results reflect responses from 729 verified U.S. small business owners (aged 18 and older) operating businesses with 2 to 249 employees and annual revenues between $50,000 and $5,000,000. Data is unweighted, with a margin of error of approximately ±4% at a 95% confidence level.
